2. Scope of This Notice

This notice describes how we process the personal data of people who visit the website, request information, take the language assessment, use the Zoe virtual assistant, enrol on courses or interact with the school through digital and administrative channels.

3. Data Processed

• Identification and contact details (first name, surname, email, telephone number) submitted through the contact form or by email.
• Information you choose to share in your message (language of interest, timeframes, goals).
• Answers and results from the free language assessment (language, self-reported level, score), without identifying data unless you provide it yourself.
• The text of conversations with Zoe, used to generate responses.
• Administrative and learning data (enrolments, invoicing, level, progress) for those attending courses.
• Technical browsing data (IP address, browser type, date and time of access) recorded by the hosting systems.

4. Purposes

• Responding to requests for information and arranging interviews, appointments and video calls.
• Providing an estimate of language level and recommending the most suitable learning path.
• Enrolment, organisation and delivery of courses; administrative and accounting management.
• Ensuring the operation, security and improvement of the website.
• Complying with legal obligations. Promotional communications are sent only with prior consent.

5. Legal Basis

The data subject’s consent, performance of a contract or pre-contractual measures, compliance with legal obligations and the school’s legitimate interests, within the limits permitted by law.

6. Zoe Virtual Assistant

Zoe is an AI-based assistant. The messages you write are processed by a technical AI service provider solely to generate a response. Please do not enter sensitive data in the chat. Responses are for information only; confirmation of courses, dates and prices must be obtained directly from the school.

7. Security

We adopt appropriate technical and organisational measures (encrypted connections, access restricted to authorised staff) to prevent unauthorised access, loss, unlawful use or disclosure of data.

8. Retention

Data is retained for as long as necessary for the purposes for which it was collected and, subsequently, for the period required by administrative and tax regulations. Contact enquiries that do not lead to enrolment are deleted after no more than 24 months.

9. Disclosure and Transfers

Data is not sold or disclosed to third parties, except to technical or administrative service providers (e.g. hosting, databases, AI services, accounting) bound by confidentiality obligations, and to the competent authorities where required by law. Some providers may process data abroad; in such cases, transfers are made to countries with an adequate level of protection or subject to appropriate contractual safeguards.

10. Your Rights

You may at any time request access to your data, rectification, erasure within the limits of the law, restriction of or objection to processing, portability and withdrawal of consent by writing to info@cct.ch. You also have the right to contact the Federal Data Protection and Information Commissioner (FDPIC).
